Passport/Visa Collection Locations

If your application is approved, your passport and visa will be delivered either:

  • to your home/office address within Poland (Premium Delivery Option). There is an additional fee of 32 PLN per passport associated with this service which is paid directly to FedEx on delivery.
  • or FedEx will hold your passport with visa for you to pick up at the FedEx pick-up location you specified when you scheduled your interview. There is no additional fee associated with this option.

Note: Please provide us your present cell phone number and e-mail address to contact you for information on your passport delivery.

Change Delivery Options

You may change your passport delivery address or pick-up location up to and including the day of your visa interview at the Embassy/Consulate:
• On your online profile until 23:59, or
• By calling the Visa Information Service until 19:00.

There is no cost to change your pick-up location.

Passport Tracking Options

For your convenience, you have several options to choose from to track the location of your passport.

Instant: Enter your passport number below to check on the status. If your passport is ready for pick-up, please collect it in a timely manner and bring supporting documents.

Please note that FedEx will only hold passports for 10 business days from the date that you receive confirmation that your passport has arrived at the pickup location. Failure to pick up your passport within this time may cause delays in the receipt of your passport.



Email: Send an email to and in the subject and/or body enter a valid passport number exactly as it was entered at the time the appointment was scheduled. DO NOT INCLUDE ANY ADDITIONAL TEXT. You will receive an automatic response with the status.

Collecting Your Documents

Premium Delivery Option (within Poland only)

If you chose Premium Delivery, FedEx will contact you to schedule a date and time for delivery. Someone must be present at your home/office when the courier comes to deliver your passport. Please note that FedEx will make only a limited number of attempts to deliver the passport(s) to your home/office address. After it your passport will be returned to the Embassy/Consulate and you will then be contacted by the Embassy Consulate to determine how your passport can be returned to you.

Note: If a representative is receiving your passport (even in case of family members) he/she must present some additional documents listed at the bottom of this page to FedEx courier.

Pick up Delivery

FedEx has facilities where your passport can be held for pick-up. When scheduling your interview you will have the opportunity to select a convenient FedEx pick-up location. Please provide your current email address when you select your pick-up location. You will receive an email when your passport arrives at the pick-up location. Please note that FedEx will only hold passports for 10 working days from the date that you receive email confirmation that your passport has arrived at the pickup location. Failure to pick up your passport within this time may cause delays in the receipt of your passport.

After 10 working days your passport will be returned to the Embassy/Consulate and you will then need to wait on information from the Embassy/Consulate on how to collect your passport.

Same-day Pickup Location

Fedex has identified two branch locations (in Warsaw and Krakow respectively) where you can pick up the passport on the same day as we receive it from the Embassy. Should you have an emergency case or need to pick up your passport early, please select one of the following Fedex offices in your profile as your pickup location. Please note that by selecting this location, you are not applying for expedited visa processing. Your passport will be available for collection once the visa is processed and the Embassy has handed it over to Fedex for delivery.

Supporting Documents

To receive your passport from Fedex courier or collect it at one of our Fedex locations, you must present an original government-issued photo ID. You will also need to have your UID available.

You can find your UID on your appointment letter and online profile in the appointment system. Your UID number can also be found after logging into the appointment system on the right-hand side of the landing page next to your user name/email address.

If a representative is receiving your passport from the Fedex courier or from the document collection office on your behalf - even in case of family members - the representative must present:

  • The representative’s own original government-issued photo ID for identification
  • A photocopy of the applicant’s government-issued photo ID
  • A letter of authority, signed by the applicant, authorizing your representative to collect your passport. The letter of authority must contain the following information:
    • Your representative's full name as shown on their government-issued photo ID
    • Your name

If the applicant is under the age of 18, a parent or guardian be present for passport pick-up and must show his/her government-issued photo ID. The following documents are required:

  • A photocopy of the minor’s passport as verification. If this is not available, bring the minor’s birth certificate or government-issued photo ID.

Note: In case of a group/family, a single letter of authority with the required information for each of the applicants will be accepted.
