Group Coordinators!

Please review the following requirements carefully:

  • Groups must consist of a minimum of 7 applicants (over the age of 13) and a maximum of 25 applicants. If your group has more than 25 members, please divide it into two or more separate groups and submit separate requests. Please do not include children under the age of 13 in your total, as they do not need to appear for an interview. Applications for applicants under the age of 13 may be brought along on the day of the group appointment, or may be submitted via our drop box service.
  • Please plan ahead and submit your group requests as early as possible. Due to high demand for visa appointments, the U.S. Embassy is generally unable to approve group requests if travel is within less than three weeks from the date of the request.
  • Please do not make your request until you have all the group members’ MRV fee receipts and DS-160 application forms available to you. You will only be able to claim designated appointment slots until 4:00pm the day before the appointment.
  • Group requests must clearly state the purpose, dates and itinerary of the proposed trip.
  • Please note that the size of the group cannot be changed once the request has been approved. Any additional travelers will need to make separate individual appointments.
  • Please also note that it is not possible to change any of the group members once the designated appointments have been assigned to individual group members.
  • Please do not double book. If any group members hold individual appointments already, please do not include them in your group request.
  • Please do not submit expedite requests at the same time as groups requests.
  • Please note: This is a request for a group appointment, not a group interview. Interviews will be conducted with each member of the group individually.

Once a group appointment has been approved the Group Coordinator has 10 days in which to “claim” the designated appointments. If after 10 days the designated slots have not been assigned to individual applicants, all of the group slots will be cancelled and new appointments will have to be made. This measure has been put in place by the consular section due to high demand.

The consular section further reserves the right to cancel any group appointments that are suspected or determined to have been made after presenting false or misleading information in an attempt to circumvent the rules or manipulate the appointment system for benefit or profit.

How to Apply

Step 1

Each group member must pay the visa application fee.

Please note that the deposit slips are not compatible with an iPad and will not load correctly using the default Apple .pdf reader. The slips will load correctly on Apple computers if opened using Adobe Reader. If you cannot open or view the deposit slip, please download and install the latest version of Adobe Reader from the Adobe website. There is no fee to download or use Adobe Reader.

Please note that you will need to stay connected to the internet while using the receipt.

Step 2

Each group member must complete the Nonimmigrant Visa Electronic Application (DS-160) form.

Step 3

The Group Coordinator registers a profile in the online appointment system and uses it to make a request for a group appointment.

Please do NOT add any group members / dependents before you have received an email saying your group request has received approval from the Embassy or Consulate. You will add the group members / dependents after you have received the email confirmation only.

Step 4

If the Embassy approves the request then the Group Coordinator, and only the Group Coordinator, will receive an email alerting him/her to schedule appointments for each member of the group. Please note that the Visa Service Center cannot do this for you, but agents are able to assist if questions arise or if you experience technical difficulties. Should the Embassy deny the request for a group appointment, the Group Coordinator will be notified of the denial by email and each group member must schedule an individual appointment.

Note: The email confirming or denying the group request will come from Some email applications have rules which filter unknown senders into a spam or junk mail folder. If the Group Coordinator has not received the email notification, look for the message in junk and spam email folders.

Step 5

Only the Group Coordinator can schedule the designated appointment for group members using the online appointment system. The GC will need the following information for each group member in order to schedule an appointment:

  • Their passport number
  • The MRV fee receipt number from the Khan Bank receipt. (Click here for help finding this number.)
  • The ten (10) digit barcode number from their DS-160 confirmation page
  • Passport issuance date and Passport Expiration Date
Step 6

Each group member must visit the U.S. Embassy on the date and time of their visa interview. He or she must bring:

  • A printed copy of their appointment letter
  • DS-160 confirmation page
  • One photograph taken within the last six months
  • A current passport
  • The original visa fee payment receipt
  • His or her Mongolian national ID

Applicants who appear at the Embassy without all of the required items may experience delays or may be asked to return at another time.
