Group Appointments

Overview

Groups of individuals traveling together for the same purpose may qualify for a group appointment. Groups may include, but are not limited to, groups of workers traveling for the same company on an H visa, musical groups traveling together for an event or festival, a group of professional trainees from the same company traveling to the same training event, students attending official events, and sports teams attending a sporting event.

Before requesting a group appointment, each group member must have completed their DS-160 Application for a Non-Immigrant Visa and paid the application fee.

The Non-Immigrant Visa Unit in Tegucigalpa will only consider group scheduling requests under the following conditions:

  1. The number of applicants traveling together as a group must be 7 or more.
  2. The request for a group appointment must be made at least 3 weeks before the date of travel.
  3. The designated group coordinator must include in the online group request the full names of each group member as it appears on their passport.

Please note that an applicant can only have one appointment request at a time. Therefore, if a group member has already scheduled an individual appointment, he or she is no longer eligible for a group appointment. Additionally, once a group request has been submitted, members of the group should not submit requests for emergency appointments. Submitting a request for an emergency appointment while a group request is pending will invalidate both requests.

Please note that the U.S Embassy reserves the right to grant or refuse any group scheduling request.

The adjudication of group visa applicants will be deferred until all required information has been provided.  Upon receipt of the aforementioned information, your group appointment will be scheduled accordingly.  Additionally, cases for individual applicants will be put in “pending” status until all required information has been received.

How to Apply

IMPORTANT NOTICE: PLEASE read the following instructions to avoid delays or complications. DO NOT start adding people to the group coordinator profile before sending the group request and getting the approval from the Embassy. 

 

Step 1
A designated group coordinator uses the online appointment system to click on

and to request a group appointment. It is not possible to submit a request through an agent. You will have to include as attachment in the group scheduling request the next information:

For Petition based visas:

  • A list of group members which includes each member's full name (both first names and both last names), as it appears on the passport. If the petitioner has filed previous petitions using other names, please provide.
  • A copy of the petition.

Petition Based groups shall also include the ‘Receipt Number’  under “Reason for Travel.”  The ‘Receipt Number’ appears on the I-797B Notice of Action form.

For all other visa types: 

  • A list of group members which includes each member's full name (both first names and both last names), as it appears on the passport.

Once the request is submitted, wait for a response from the Embassy which will come via email.

Step 2

If the Embassy approves the request, the group coordinator receives an e-mail message indicating that he should return to his profile and schedule the appointments for each member of the group. A call center agent can not schedule appointments for a group but they can answer any questions or concerns. In case the request is denied, the coordinator receives an email and all members will have to schedule their appointments individually.

Note: The response to your request comes from no-reply@ustraveldocs.com. There are some email applications that filter those messages of unknown senders and automatically moves them into a junk or spam folder. In case you have not received your notification, please check these folders in your email.

 

Step 3
A separate visa application fee must be paid for each group member.

Step 4
Each group member must complete the Nonimmigrant Visa Electronic Application (DS-160) form and print the confirmation page.

The group coordinator returns to his or her profile at the online appointment system and clicks on the

button to begin scheduling the group's appointments. He or she should have at hand three pieces of information about each group member:

      • The group member's passport with the applicants full name, passport number, date of birth, passport expiration date and other important data located on the passport's biographical page
      • The group member's visa application fee receipt number. Click here for help locating this number.
      • The 10-digit barcode number from the group member's DS-160 confirmation page

Step 6

      The group coordinator selects the approved group appointment request corresponding to the correct group, as in the example below:

If the group coordinator frequently schedules group appointments, it is important to select the correct group request.

Step 7
Each group member is added as a "Dependent" to the group coordinator's profile. The group coordinator can choose to be a member of the group or not.

Step 8
The group goes to the U.S. Embassy on the date and time of their visa interviews. Each member must have a printed copy of the appointment letter, DS-160 confirmation page, one photograph taken within the last six months, a current passport and all old passports, and the original visa fee payment receipt. Applications without all of these items will not be accepted.

Important Points to Remember

    • Once the group request has been approved, the group has a limited time to complete steps one through six. Typically, it is a timeframe of seven days, but the group coordinator should refer to the confirmation recevied by email. In case the request expires, the group coordinator must start over and submit a new request.
    • The group coordinator should perform steps 1, 2, 3 and 5 for group members. Each applicant must complete his or her own Form DS-160.
    • If a group member has already scheduled an appointment, he or she is no longer elegible to be a group member. He or she must attend the visa interview alone.
    • If the group's applicants are applying under an approved I-797 petition, such as H2A or H2B visa applicants, in Step One the group coordinator must upload a legible copy of the approved I-797 as part of the request.
